BACKGROUND

Baan Dek Foundation (BDF) is a non-profit, non-political and non-religious organization based in Bangkok and Chiang Mai. BDF's core mission is to provide access to education, health, and social services to the most vulnerable children living in urban slums and construction site camps in Thailand.

Over the last 10 years of grassroots work originating in Chiang Mai, Baan Dek Foundation established key partnerships with construction companies and real estate developers to build sustainable impact in construction site camps and improve the access to basic services of construction workers and their children. 

In 2018, BDF and UNICEF Thailand developed a Framework for Action, a set of 12 actionable recommendations for construction companies, published in the Building Futures in Thailand.  

Following the publication of this framework for action, BDF developed and piloted with pioneer construction companies practical tools for construction companies to operationalise and ease the integration of the framework for action into companies business activities. Through the recent launch of the Building Social Impact initiative, BDF would like to scale up and reach a wide adoption of this framework and tools in the construction sector. https://www.buildingsocialimpact.org/eng

Your Mission

JOB DESCRIPTION:

Job Title: Administrative and Finance Officer

Type of Contract: Full-time employment position with open end contract 

Departments: Finance and Administrative Departments

Location: Bangkok, Thailand (with punctual missions in Chiang Mai)

Expected Start Date: December 2024


POSITION SUMMARY

Baan Dek Foundation is currently looking for a professional and dedicated local Administrative and Finance Officer who is committed to supporting vulnerable children and communities living in Chiang Mai and Bangkok. The Finance and Administrative Officer will work under direct supervision of the Manager and Director of Finance and PR and HR based in Chiang Mai and the Management team in Bangkok

ROLE AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

The employee will work together with the team in Bangkok, the Finance Department and Admin&HR Department based in Chiang Mai. The main responsibilities of the Employee and will include, but are not restricted to, the following:

  1. Administration and HR

    • Support the Director of HR and Public Relations and work with the HR &Admin team in the development of requested communication, financial, activities etc. 

    • Coordinate organizational administration, maintain file and document organization (including contracts, visas, work permits, tax, criminal record checks, and driving licenses etc.)

    • Support the Human Resource processes and the implementation of related policies in the branch in Bangkok 

    • Conduct translation of official documents and field materials from Thai to English

    • Ensure the working environment in the office in Bangkok remains suitable, contacting external services as needed (cleaning, maintenance services, etc.)

    • Provide assistance with any task as per the needs of the organization and the management team.

    • Handling administrative tasks, maintaining employee records, supporting recruitment efforts, aiding in onboarding, facilitating interdepartmental communication, and contributing to the efficient functioning of the organization's administrative and human resources functions.

    • Liaising with government departments to ensure legal compliance for both Thai and international staff, managing work permits, visas, and other related matters.

  2. Finance and Cashier

    • Handle the foundation's petty cash. This includes the disbursement of advances and reimbursements of cash to staff

    • Maintain a voucher list as per donor requirements

    • Ensure the receipt and financial practices are aligned to Thai Law and transparent ethical standards

    • Support in preparing tax and social security documents and procedures

    • Participate in the cash count on a regular basis

    • Accurately record all expenses into the petty cash register 

    • Maintain the accounts for all payments made in the Bangkok office and liaising with staff and suppliers as necessary

    • Support in processing quotations along with the requirements indicated in the financial policies

  3. Support Reporting and Budgeting

    • Support the Finance Department in preparing financial budgets for proposals to donors

    • Support the Finance Department in preparing financial reports for donors and for internal use

    • Work with relevant staff to produce project budgets and forecasts as required

Your Profile

QUALIFICATIONS

  • Nationality:  Thai nationality

  • Language requirements:  Good command of written and spoken English & Thai.

EDUCATION/ EXPERIENCE:  

  • Studies: Bachelor’s or Master's degree in any of the relevant fields:  Administration, Human Resources and Finance related fields or equivalent in progressive work experience, office management, accounting, secretarial work.

  • Professional Experience: Minimum 2 years of experience in office administration, human resource public relations, visa and work permit, and Finance related fields is required. Experience in Thai English document translation/positions and accounting related to NGO or social work are considered as assets. 

 OTHER SKILLS AND COMPETENCIES:

  • Creative and meticulous, ability to work independently with a deadline, ability to provide and receive positive criticism in a constructive manner, highly motivated, flexible and interested in humanitarian missions.

  • Committed to social work/child welfare, dedication for non-profit work, communication and human relations skills.

  • Teamwork ability, flexibility on working hours, tolerance & human values, highly motivated, positive energy & spirit.

WORKING HOURS: Full-time contract (onsite) from Monday to Friday with occasional weekend and evenings

SALARY & COMPENSATION: To be defined based on experience and qualifications
