Baan Dek Foundation is currently looking for a professional and dedicated local Administrative and Finance Officer who is committed to supporting vulnerable children and communities living in Chiang Mai and Bangkok. The Finance and Administrative Officer will work under direct supervision of the Manager and Director of Finance and PR and HR based in Chiang Mai and the Management team in Bangkok.

Your Mission

Job Title:                             Administrative and Finance Officer

ROLE AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

The employee will work together with the team in Bangkok, the Finance Department and Admin&HR Department based in Chiang Mai. The main responsibilities of the Employee and will include, but are not restricted to, the following:

  1. Administration and HR

    1. Support the Director of HR and Public Relations and work with the HR &Admin team in the development of requested communication, financial, activities etc. 

    2. Manage organizational administration and maintain files for contracts, visas, work permits, tax documents, criminal record checks, and driving licenses etc. Ensure compliance with Thai labor and immigration laws for both local and international staff, supporting legal work authorization in Thailand.

    3. Coordinate and prepare required documents for visa and work permit applications and renewals to ensure full compliance with Thai laws and regulations.

    4. Support the Human Resource processes and the implementation of related policies in the branch in Bangkok 

    5. Conduct translation of official documents and field materials from Thai to English

    6. Ensure the working environment in the office in Bangkok remains suitable, contacting external services as needed (cleaning, maintenance services, etc.)

    7. Provide assistance with any task as per the needs of the organization and the management team.

    8. Handling administrative tasks, maintaining employee records, supporting recruitment efforts, aiding in onboarding, facilitating interdepartmental communication, and contributing to the efficient functioning of the organization's administrative and human resources functions.

    9. Liaising with government departments to ensure legal compliance for both Thai and international staff, managing work permits, visas, and other related matters.

  2. Finance and Cashier

    1. Handle the foundation's petty cash. This includes the disbursement of advances and reimbursements of cash to staff

    2. Maintain a voucher list as per donor requirements

    3. Ensure the receipt and financial practices are aligned to Thai Law and transparent ethical standards

    4. Support in preparing tax and social security documents and procedures

    5. Participate in the cash count on a regular basis

    6. Accurately record all expenses into the petty cash register 

    7. Maintain the accounts for all payments made in the Bangkok office and liaising with staff and suppliers as necessary

    8. Support in processing quotations along with the requirements indicated in the financial policies

  3. Support Reporting and Budgeting

    1. Support the Finance Department in preparing financial budgets for proposals to donors

    2. Support the Finance Department in preparing financial reports for donors and for internal use

    3. Work with relevant staff to produce project budgets and forecasts as required

Your Profile

QUALIFICATIONS

  • Nationality:  Thai nationality

  • Language requirements:  Good command of written and spoken English & Thai. 


EDUCATION/ EXPERIENCE:  

  • Studies: Bachelor’s or Master's degree in any of the relevant fields:  Administration, Human Resources and Finance related fields or equivalent in progressive work experience, office management, accounting, secretarial work.

  • Professional Experience: Minimum 2 years of experience in office administration, human resource public relations, visa and work permit, and Finance related fields is required. Experience in Thai English document translation/positions and accounting related to NGO or social work are considered as assets.

WORKING HOURS: Full-time contract (onsite) from Monday to Friday with occasional weekend and evenings

SALARY & COMPENSATION: To be defined based on experience and qualifications

About Baan Dek Foundation

Baan Dek Foundation is a dynamic non-profit dedicated to empowering marginalized children and families living in urban poverty, particularly in construction camps across Thailand. 

The Thai construction sector employs approximately 700,000 migrants out of which 40% are women. BDF and UNICEF’s evidence-based study states around 60,000 children live with parents in construction site camps with slum-like conditions. These children and their parents face critical challenges in accessing essential services such as education, healthcare and child protection.

To address this challenge, BDF supports children and their parent’s immediate needs (access to healthcare, education, and child protection services), empowers their communities through a peer-to-peer approach (training for youth, adults, and women) and creates systemic change in the Thai construction sector through the Building Social Impact Initiative.

Baan Dek also powers a spin-off social enterprise: Dao Ethical Gifts, which empowers vulnerable women in Thailand.
